The challenge
The Iowa Hospital Association faced the daunting task of converting their annual in-person event into a virtual format, and later into a hybrid model post-pandemic. The event needed to accommodate over 2,500 attendees from various association hospitals, featuring a virtual opening and conclusion.
A key requirement was the simultaneous operation of multiple virtual breakout rooms, each hosting its distinct session and speaker, making it a complex logistical endeavor.
Additionally, there was a crucial need to showcase sponsors, who typically had a physical presence at the event, in this new virtual environment.
Our approach
LeaderPass stepped in to assist the Iowa Hospital Association with this significant transition. We consulted with their team and used our Mission Control virtual production team on site at LeaderPass studios. We also developed a robust platform capable of hosting multiple virtual breakout rooms concurrently, ensuring smooth operation and easy navigation for attendees.
Our team focused on creating an immersive and interactive virtual environment that mirrored the experience of an in-person event. We managed the technical aspects of the virtual opening and conclusion, guaranteeing a seamless and engaging experience for all participants. The platform was also designed with flexibility to adapt to a hybrid model, accommodating both in-person and remote attendees in the post-pandemic phase.
Importantly, we included a feature for sponsors, integrating their videos, summaries, and logos into the channel, providing them with valuable exposure and interaction opportunities.
The result
The virtual event was a resounding success, seamlessly accommodating over 1,000 attendees and delivering a comprehensive and engaging experience. This successful transition to a virtual and later hybrid format demonstrated LeaderPass's capability in handling complex, large-scale virtual events.
Furthermore, the innovative approach to sponsor representation added significant value, enhancing the sponsors' visibility and engagement with the audience.
